Commerce7 Migration Step by Step Guide: Our Approach

The data migration process can be stressful but also an opportunity. Ensure your C7 migration partner provides you with the opportunity during the data migration to enhance your data, so that it will be more useful to you in the future.

For example, for Products, ask your migration partner to be able to update the SKU nomenclature; also ask them to enhance your product data with metadata and departments (before upload). Update all your wines with wine type, varietal, wine region, appellation, and wine country to minimize your manual data entry afterward.

Don’t settle for limited data migrations where only the last few years of orders or active products are transferred. Doing so will affect the accuracy of the analytics tools that will help you grow your revenues and wine club.

    • When migrating orders into C7, you cannot migrate an order with an order number that already exists. Therefore it is essential that you do not create any orders in your C7 production environment.

    • We will set an initial C7 order number. That is the start of the counter when you will create orders native to C7. We like to set this to an order number that starts with a different starting digit than your source system orders. For instance, if your last order in your source system is 1002345, we will set your initial C7 starting order number to 2000000. That way it is clear that all native C7 orders start with a ‘2’ and migrated orders with a ‘1’.

    • Ask your C7 onboarding specialist to set up a sandbox environment for you. That will allow you to practice and train on an environment that is not your production environment and you will also not interfere with the data migration.

  • We will pull the data from your source DTC system.

  • We highly recommend using tags! Use tags to identify issues with data. E.g. use customer tags to identify duplicates so they can be easily filtered on and fixed after go live.

    Also use tags for interesting customer information. For instance, use a customer tag to easily identify ‘On Hold’ and ‘Past’ club members.

    The migration process is the perfect time to work with your migration partner to upload these tags.

  • Departments:

    • If you are a Classic WineDirect customer, you are in luck. Departments are the same in both systems. If you are a vinSuite or eCellar customer, we can map your Report Group to the Department.

    • If you are an OrderPort or Microworks customer and have no clue what departments are, no worries. We will help you assign departments in an automated way during the product migration.

    Collections:

    • Collections are a grouping of products on your website. C7 allows you to dynamically create collections (e.g. Red Wines - based on wine type or Cabernet Sauvignon-based on varietal).

    • You can also create manual collections, like ‘Staff Favorites.’ Enolytics will allow you to upload manual collections, including the products to be included in the collections.

    • The first records to upload are the products. This will help you and your designer with getting your website ready.

    • Products are the most critical part of the data migration. Commerce7 is very particular about the data to be uploaded. For instance, you have to abide by Commerce7’s list of varietals, and you cannot upload a varietal without a Wine Type.

    • This is the perfect time to update your SKUs and Item Names to a structured and logical nomenclature, if you are not happy with your current naming scheme.

    • Take advantage of this opportunity to enhance your product data since it will be critical to using your data for targeted marketing campaigns and tracking your business. A migration is a perfect time to update your product attributes like wine type, varietal, vintage, appellation, wine region, wine country, and department.

    • We will provide you with a list of products that cannot be imported into C7 because of missing or bad data, and we give you the tools to update the record easily. Once you update the record correctly it will clear from your action list.

    • There definitely will be a need for your input and feedback during the process because several fields will be new to you (such as tax and inventory settings).

    • Take advantage of this opportunity to enhance your products with metadata. Several of your source DTC fields will not exist in C7 and can be mapped to metadata fields (such as alcohol percentage, wine maker’s notes, bottles produced, etc.)

  • The customer import consists of several sub-steps.

    • Basic customer info: name, email address, phone number, birth date, city, and state. This will be displayed on the top of the customer page.

    • Customer addresses: this is the most vulnerable part of the customer data import because C7 is very particular about the address data. If one address element (street, city, zip, state and country code) is missing, it will not allow us to import the address. We will work with you to identify problem addresses and give you the tools to easily correct them or remove them. C7 doesn’t distinguish between billing and shipping addresses. We will set the billing address as the default address.

    • Customer notes: We will import all your customer notes, but can filter based on preference. Some wineries prefer not to have automated notes from the credit card services to be migrated.

    • Customer tasks: We can import all your tasks or just the tasks with future due dates.

    • Customer metadata: Take advantage to port over data that doesn’t have a matching field in C7. By default, we will migrate your source system customer number and the source code (Classic WineDirect) to C7.

    • Customer tags: We will tag any customer record that needs review once it is in C7. Those could be records where we had to manipulate addresses in order to be able to import them into C7. We will also take advantage of tags to enhance your data. For instance, we will tag past club members, so you can easily identify those when they come to the tasting room. We are happy to work with you on creating custom customer tags.

    • We will upload all your clubs, even clubs that no longer have members or don’t exist anymore. We do this because modern algorithms like Machine Learning and AI use historical data to forecast future behavior.

    • Clubs that are no longer used will be set to the ‘Not available’ status.

    • We will do an initial load of your club memberships, but keep in mind that they will need to be updated after we receive your credit card tokens.

    • We will upload all club memberships, also those that were canceled in the past. This will help with the modern algorithms that predict who are members at risk of leaving.

    • We will map your sales associates between your source system and C7 so that the associate performance can be monitored over time regardless of your C7 migration.

    • If we can not map the shipping address to the club membership, we will set the membership to pickup and will tag membership for review in C7.

    • We will upload all of your orders because they are critical to forecast future buying behaviors and to create targeted marketing campaigns.

    • We will map your sales associates between your source system and C7 so that the associate performance can be monitored over time regardless of your C7 migration.

    • We will pay particular attention to your channels, so every order is assigned to the correct channel or POS Profile.

    • The migration of credit card tokens is the biggest ‘unknown’ of the data migration. We have seen it take anywhere from 1 week to 6 weeks. This is important to keep in mind when planning your go-live date.

    • Requesting your credit card token migration date is a balance, because you do not want to request it too early if you will have to manually track credit cards and add them manually to C7 once you are live, but you don’t want to wait to late either as it can affect your go live date. Your C7 onboarding specialist can help you better understand the timeline based on their experience with your source system migration.

    • Now it is time for the magic! Using Enolytics’ advanced DTC dashboards you will be able to easily and quickly check the accuracy and completeness of the migration.

    • If you are a Classic WineDirect, VinSuite or eCellar customer it gets even better as we will provide you with an Enolytics environment for your legacy system and for C7. It will be very easy to compare and assess.

    • Once your credit card tokens arrive in C7, we will update your customer and club membership records.

    • At this point, we will also identify expired credit cards for customers and missing or expired credit cards for club memberships. We will tag your records in C7 so you can research and update after go live.

    • Shortly after go live, we will update your C7 environment with the delta between our initial data load and your go-live date with C7.

    • We will provide you with a Data Quality report that will tell you how many records we were not able to upload. We will tell you exactly which records those were and what the reason was for their failure to upload.
